Brief about the Electronic Citizens Affairs Unit

The Citizens Affairs Unit is a department under the Office of the Dean and serves as the main channel for receiving requests and complaints from citizens. It is dedicated to safeguarding the interests of citizens and strives to utilize scientific and technical mechanisms to establish an operation that fosters trust and strengthens the close relationship between citizens and the Dean’s office of the institute within a framework of objectivity, transparency, and mutual respect.

This unit was established in 2017 and its role includes submitting all complaints and grievances from students, staff, or citizens to the Dean and either resolving them or forwarding them to the university’s Citizens Affairs Department. The unit is responsible for following up on these requests with the relevant officials in the university and has a specific form for scheduling meetings with the Dean or the University President.

The most important tasks of the Citizens Affairs Unit are:

• Welcoming citizens, listening to their complaints, and directing them to the appropriate department or section for review.
• Receiving their requests or complaints to provide feedback and preparing a study to present to the responsible authority in the college.
• Conducting daily interviews with citizens, particularly focusing on exceptional cases, and submitting recommendations to the Dean.
• Directly supervising and organizing meetings with the Dean according to the established guidelines.
• Informing citizens about the actions taken regarding their requests or complaints via phone or by inviting them for follow-up.
• Compiling and submitting statistics on the number of meetings conducted by the Dean to the Citizens Affairs Department at the university.
